Timesheets

Consistent time tracking is what makes the rest of Monograph work — it drives budgets, staffing, invoices, and reports. This page covers logging your own time and the admin tools for managing your team’s.

  1. Go to Time → Timesheet (the clock icon in the main menu).

  2. In Search for Project and Add Phase, type a project name or number, then pick the phase and your role. The billable rate name shows next to each role.

  3. Choose an activity that matches the work (e.g. Meetings – Client).

  4. Click the day’s cell and enter your hours. Add a note describing the work.

  5. When the week’s done, click Submit in the top-right corner.

A few things worth knowing:

  • Submitting is optional. Open timesheets are still counted in invoices and reports — “Submitted” just marks a week as finalized.
  • Only active phases appear. To log to a completed phase, ask the project’s admin.
  • You can log for the current week and one week ahead — not further out.
  • Expenses are no longer added on the timesheet — use the Expenses page instead.

Prefer to track as you go? Use the timer (green play / red stop icon). Time you track flows straight into that week’s timesheet, where you can adjust it.

Go to Time → Past Timesheets, pick the year, and click a week’s date to open it. Overwrite an entry’s hours directly, or click the pencil icon to change its phase.


If a teammate is out, anyone with Edit All Timesheets can log for them: go to Time → Timesheets (under Staff Time), click the date link next to the person’s name, unlock the week if needed, add time, and Submit (or Resubmit).

Prevent late edits by auto-locking each week. Go to Settings → App Defaults → Timesheet Locking, toggle it on, and set how many days after the week ends (and what time) the lock takes effect. Locks respect each person’s timezone.

Activities power your reporting. Under Settings → App Defaults → Activity List, add activities and mark each Billable or Non-Billable. Split broad ones (e.g. Meetings – Internal vs. Meetings – Client) for sharper insight. You can also toggle Require activity for all timesheet entries to enforce it.

From a timesheet view, click Export to download a CSV — choose a date range, dates as columns or rows, and whether to include notes.
