Permissions

Permissions control what each team member can see and do — from logging their own time to viewing firm-wide financials. You build permission levels (policies) with specific abilities toggled on, then assign each person to the level that fits their role.

Find them under Settings → Permissions.

The Permissions page shows each level and how many people are assigned to it. From here you can:

  • Click New Policy to create a level.
  • Click Edit Permissions under a level to toggle abilities on or off.
  • Select Show current assigned users to see who’s in each level.

You can create as many custom levels as you need — for example Principal, Project Manager, Staff, and Bookkeeper.

Every team member can, without any permissions enabled:

  • View and edit their own profile (personal info, not their permission level).
  • View the team directory and colleagues’ profiles.
  • Access the Workload (Projects) and Workload (People) pages.

Everything beyond that — invoices, financial reports, managing people — must be turned on explicitly.

A few things are reserved for Admin (all permissions enabled) and can’t be granted individually:

  • Create, edit, delete, and assign permission levels.
  • Manage the firm’s Monograph billing subscription and payment method.
  • Access everything forwarded to the Smart Inbox.
  • View the Reports page and the team distribution chart on the dashboard.
  1. When adding someone in Staff → Directory → Add Member, pick their permission level.

  2. To change an existing person, open their profile, click Edit, and select a new level. A person can’t change their own level — only an Admin can.
