Roles & billable rates
Roles let you plan and bill by seniority (Principal, Project Architect, Designer) rather than by individual, and each role carries one or more billable rates. Setting these up keeps your planning, timesheets, invoices, and reports consistent — and lets you update rates over time without breaking historical data.
Roles and rates live under Staff → Roles & Rates.
Create a role and billable rate
Section titled “Create a role and billable rate”-
Go to Staff → Roles & Rates and click New Role.

Enter the Role Name and click Next.

Enter a Billable Rate Name and Hourly Billable Rate. To add more than one rate for the role, click + Add Billable Rate.

Click Save.
A single role can hold multiple billable rates — useful when different clients or project types command different rates for the same seniority.
Assign a default role to a team member
Section titled “Assign a default role to a team member”A default role and rate is what applies automatically when someone logs time to a project they haven’t been formally assigned to. It’s also the role and rate used when you add them to a project.
You can assign a default role from three places:
- Staff → Roles & Rates — open a billable rate, scroll to Assigned Employees, and click + Assign employee.
- Team Directory — click the ··· next to a person’s name and choose Edit default.
- Employee Profile — open the person’s profile, click Edit, and pick from the Role and Billable Rate dropdowns.
Schedule a future rate change
Section titled “Schedule a future rate change”Rates change. Instead of overwriting a rate (which would distort past data), schedule a change with an effective date so history stays accurate.

In Staff → Roles & Rates, click the name of the billable rate to open its Billable rate schedule — showing historical, current, and future rates.

Click Add rate change, enter the new hourly rate and the Effective Date, and save.
