Managing invoices

Once invoices are going out, the Invoices page and a few reports keep your billing organized and let you bill several projects at once.

Money → Invoices lists every project’s invoices with status and payment info at a glance. A summary shows totals for invoiced, paid, open, and past due, updating as you filter.

By default it’s sorted by status: Draft → Open → Past Due → Partially Paid → Uncollectible → Paid. Click any column header (Issue Date, Due Date, Paid Date, etc.) to re-sort.

Templates control an invoice’s structure and design so you’re not starting from scratch each time — and one is required to open any invoice.

Manage them from Invoices → More → Manage Templates or Settings → Templates. There you can create, edit, duplicate, or deactivate templates. When customizing, a live preview shows a sample invoice as you adjust each section.

The Unbilled report shows how much unbilled work has piled up per project, updating as your team logs time — so you know exactly what’s ready to bill.

  • Click Invoice next to a project’s unbilled amount to start an invoice pre-filled with that time.
  • Use Bulk Actions to batch-create invoices across multiple projects at once (requires the Create invoices permission).

Not all logged time gets billed — budget caps, client goodwill, etc. Write-offs adjust a phase’s unbilled total to match what you’ll actually invoice. Manage them from the Unbilled report, Project Financials, or the Invoice Builder:

  1. Expand a project to its phases and click + Add on the phase to write off.

  2. Choose Apply write off to all or Assign to individuals, enter the amount (it can’t exceed the unbilled total), and add a note.

  3. Click Save.

From the Unbilled report’s Bulk Actions, generate multiple draft invoices in one pass for a selected billing period. You can also enable Automatic Invoice Generation in settings to have recurring drafts created across projects, then review and send them.
