Add services to an existing project
Sometimes a new lead isn’t a brand-new project — it’s more work on a project you already have. For example, you win a small pre-design scope, and that leads to a proposal for the full project. Instead of tracking that as a separate project, you can win the new lead as add-on work and push its plan into the existing project.
How it works
Section titled “How it works”When you mark a lead as an extension, winning that lead won’t create a new project. Instead, Monograph adds the lead’s phases, consultants, and expense budgets to the existing project you chose — and moves any time entries and expenses logged on the lead over to that project.
Mark a lead as an extension
Section titled “Mark a lead as an extension”You can do this while creating a lead, or later from the lead itself.
When creating a new lead
Section titled “When creating a new lead”-
Start a new lead in Pipeline (or from the Smart Inbox).

Check “This lead extends an existing project.”

Choose the project to extend. This is required before you can save the lead.

Fill in the rest of the lead as usual and save.
On an existing lead

Open the lead’s details page.

Turn on “Extends an existing project” and select the project.
What the lead inherits from the project
Section titled “What the lead inherits from the project”When a lead is set to extend a project, some details come from the project instead of the lead:
- Client — set by the project. The client field on the lead is locked, with the tooltip “The client is set by the project this lead will extend.”
- Lead name, project number, and color — these stay on the lead for your reference and are not carried into the project when the lead is won.
What happens when you win the lead
Section titled “What happens when you win the lead”Once you mark an extension lead as Closed–Won, Monograph adds its plan to the existing project:
- Phases are added to the project. The lead’s start date anchors the first new phase’s start date.
- Consultants are added to the project.
- Expense budgets are added to the project (see the matching rule below).
- Time entries and expenses logged on the lead move to the project, under their new phases.
- Past invoices on the project are unaffected.
Expense budgets must match
Section titled “Expense budgets must match”A project uses one of two expense budget structures: a single budget for all expenses, or separate budgets per expense category. An extension lead has to match the project it’s extending:
- If the project already has an expense budget structure, the lead is limited to the same structure.
- If the lead already has expense budgets, you can only extend a project that uses the same structure.
See which leads contributed to a project
Section titled “See which leads contributed to a project”After you extend a project, the Client Details section on the project overview lists every lead and proposal that contributed to it, so you can trace how the project grew over time.
