Invite & manage your team
Your team lives in the Staff directory, where you manage everyone’s details, roles, rates, and access. Add your team before you start building projects so you can assign people as you go.
Add a team member
Section titled “Add a team member”-
Go to Staff and open the Team directory.

Add the person’s details: name, title, email, phone, and a photo.

Assign a permission level (what they can see and do) and a default role and rate (used when they’re assigned to projects).

Add compensation details and an individual utilization target where relevant.
Roles and rates
Section titled “Roles and rates”Roles (for example Principal, Project Architect, Designer) let you plan and bill by seniority rather than by individual. Set up your firm’s roles and default rates in Settings first; then assign a default role to each team member. You can always override a person’s rate on a specific project.
Permissions
Section titled “Permissions”A team member’s permission level controls what they can see and do across Monograph — from logging their own time to viewing firm-wide financials. Review the permission levels in Settings and assign each person the level that fits their responsibilities. A person can’t change their own permission level; only an Admin can.
Send invitations
Section titled “Send invitations”Once a profile is ready, send an invitation so the person can log in:

In the Team directory, click Send Invitation (under Onboarding) next to the person’s name.

They’ll receive an email with a link to set up their login.
When an invitation doesn’t arrive
Section titled “When an invitation doesn’t arrive”If a team member never receives their invite, it’s usually one of these:
- The email wasn’t active yet. An invite sent before the address existed will bounce, and resending later may still fail. Fix: make sure the email is live, then send a fresh invitation from the Team directory.
- The email is already tied to another Monograph account. This happens when someone started their own trial before being invited. Monograph won’t send a second invite to that address — contact Support to resolve it.
- The email went to spam or was blocked. Ask the team member to check their spam/junk folder, mark Monograph as Not Spam, and add Monograph as a safe sender.
